2. What Data We Collect
2.1 Hotel Users (Dashboard)
When hotel staff create and use an account, we may collect: name and email address, authentication data (managed securely via Supabase), hotel information provided by the user, uploaded content and documents. This data is necessary to provide and manage the Service.
2.2 Guests (QR Page)
Hospinq does not intentionally collect personal data from guests. Guests may interact with the virtual assistant by asking questions. These interactions are stored anonymously, are not linked to identifiable individuals, and do not require account creation. Hotels are responsible for ensuring that no personal guest data is included in uploaded content.
3. Chat & AI Usage
Guest questions and assistant responses may be stored to improve the quality of the Service, generate anonymous usage insights for hotels, and monitor and improve system performance. AI-generated responses are based exclusively on information provided by the hotel. Hospinq does not use chat data to identify individual guests.
4. Uploaded Documents & Content
Hotels may upload documents such as menus, guides, or internal policies. Documents are stored securely, used only to provide responses for the same hotel, and are never shared between hotels. Hotels remain solely responsible for the legality and accuracy of uploaded content.
5. Cookies & Tracking Technologies
Hospinq uses cookies and similar technologies to improve the Service.
5.1 Essential Cookies
Required for authentication, session management, and core platform functionality. These cookies cannot be disabled.
5.2 Analytics & Usage Tracking
With user consent, we use Google Analytics and Hotjar to understand usage (pages visited, device/browser types, heatmaps, anonymous session recordings). These tools are used with anonymization where possible and only after explicit consent.

We process personal data based on contractual necessity (providing the Service), legitimate interest (improving the platform), and user consent (analytics and tracking cookies).
